Preparation for Post Tender Interviews and Presentations

Preparation for Post Tender interviews and presentations is an important element in securing your chosen project. We will work with your team in advance to identify, prepare and rehearse responses to key elements of the meeting.

As well as the responses you provide at the interview or presentation the fluency of your team, has a major influence on the review panel.  All members of the presentation team must be familiar with the bid and be able to answer questions put to them.  It is not advisable for members of the presentation team to refer the question to another person as it shows a lack of overall understanding.

Ellipsis International Solutions can help your business to prepare and deliver quality presentations to support your bid proposals.

The ITT will clearly define the point at which interviews will be undertaken.  This will frequently be at the end of the tender period following submission of your completed tender, however some clients prefer a mid-tender process which provides them with an opportunity to analyse the approach of tenderers and gently direct them, where necessary, on issues that they need to address.

When preparing your presentation ensure that you confirm how this is to be delivered. If in person then it is also essential to check with the review panel what format the document needs to be provided in and whether it should be emailed in advance to allow file vetting prior to use of the Employer’s projection equipment.

Many presentations have fallen at the first hurdle when a tenderer’s laptop has been unable to plug into the employer’s IT network to access the projector.

Ellipsis International Solutions’ experience spans several decades, and we have a suite of procedures, methodologies, and techniques to support all types of business in pre- and post-bid presentations. These help make the presentation process as straightforward as possible.

We know that key to success comes from exceptional preparation and taking an expert approach to bid submissions.

Ellipsis International Solutions is experienced at coaching new members of the team to ensure that throughout the interview or presentation they can take an active role confident in their ability to answer any question put to them.

Ellipsis International Solutions follows some key strategies to aid effective and powerful presentations as follows:

  • Check the agenda, date, format, and location of the presentation beforehand.

  • Understand who you will be presenting to, and their roles and responsibilities within the organisation

  • Ensure you take a small, but multi-function team of representatives who are fully conversant with the bid and ITT and understand the issues relating to both documents.

  • Organise, rehearse, and deliver the presentation in good time -not last minute.

  • Take a ‘hard copies’ as well as an electronic copy for customer

  • Make sure samples and key documents are available to support and back up the presentation.

  • Give real examples of the features as well as the benefits.

  • Ensure it is clear who leads and who supports and how it is to be delivered.

  • Make it as interactive as possible, where appropriate inviting questions as you go, as audience participation goes a long way to a successful outcome.

  • Be calm but confident and remember you are selling not only this project but the whole business for future opportunities as well.

  • Allow time for questions and discussion at the end
